PANEL SUBMISSIONS

You will be notified if your panel has been accepted for inclusion in G-FEST 

Basic Information

  • The minimum age to submit panels is 18 years old.

  • Panelists will be expected to behave in a professional manner.

  • Panels & workshops that G-FEST Staff observe to contain 18+ material, can be cancelled at our discretion.

  • Unless pre-approved by G-FEST, Panelists may not sell anything during their panel.

  • G-FEST will provide tech such as speakers, projector, screen, chairs, tables and microphones. It is the responsibility of the Panelist to bring a laptop or any other equipment needed.

  • Panelists bringing a laptop or other equipment are required to be at their panel room by 8:30am on the morning of their presentation to test their equipment with the A/V setup. 

  • We are unable to provide any internet access at the event

How it works

  • Potential panelists do not have to pre-purchase badges ahead of submitting their events for consideration. ****Please note that any refunds are not eligible in the event panelist pre buys tickets****

  • Panelists who submit and are approved for two or more panels will be eligible for a complimentary weekend pass. 

  • Panelists who submit and are approved for one panel will be eligible to purchase a weekend pass for a discounted price of $40.00 (plus taxes and fees) on our website using a special coupon code sent after approval.

  • VIP Pass holders, Exhibitors, or other pass types that are involved with panels are not eligible for additional discounts.

  • The above points apply to one main panelist and one co-panelist (per panel submission.) Any additional co-panelist eligibility requests for this special price are up to the discretion of the Programming Team Lead and are considered on a case-by-case basis. 

  • Approved Panelists will be contacted again one week prior to the convention to confirm that they will, indeed, be running their panel/workshop.

  • Approved Panelists may pick up their badges at the G-FEST registration booth. Passes may be picked up at any time during the con; however, we encourage pick up on Pre-registration day (the day before con).

  • Panelists who pick up their badges but who fail to follow through with their panelist duties,(barring illness/unavoidable emergencies) will be banned from G-FEST events.

  • There is always the possibility that some approved panels may need to be canceled due to unforeseen scheduling circumstances. If this happens, panelists will still be able to keep any approved badges provided to them. Further, we will keep the panel on a standby list. If there is an opening for the canceled panel, we will notify the main panelist to see if they can take the opening.

  • Panels start every hour on the hour. Panels are scheduled to last between 45-50 minutes. The 10 minutes before the top of the hour is for the next panel group to set up.

Panelist Conduct

  • G-FEST is a family friendly convention.

  • Profanity and discussion of sexually explicit content is not permitted. Violation could result in the termination of a panel in progress and/or the cancellation of a panel group’s scheduled panel(s).

  • Panelists may not offer food and/or drinks to attendees.

  • Panelists may not consume alcohol right before or while conducting a panel, or at any time on the premises period.

  • Panelists may not promote illegal activities.

  • Slander is not permitted. Panelists may express their personal opinions during their panels, but panelists may not attack the character of others – present or not.

  • Physical & Verbal assault upon anyone is strictly prohibited and will not be tolerated.

No Show Policy

  • If situations arise where panelists are not able to commit to their scheduled times due to extenuating circumstances, the Panelist must contact the G-FEST Program Coordinator immediately to give time to make alternate arrangements for a substitute panel.

  • Panelists failing to show up at their panel without notice to the G-FEST Program Coordinator will be banned from running panels at future G-FEST  events.

Will there be other people in your presentation?

G-FEST provides HDMI cable hook ups to the projector in the mail panel rooms. Audio is via standard 3.5 mm audio cable into laptop. 

Panelists are required to bring their own laptops with which they are familiar for optimal efficiency, as well as any other special hook ups that could be needed. All A/V must be on a local hard drive (laptop, tablet, etc.) 

All panelists must try out their equipment in the morning before sessions start.
